Preamble
This Document contains the general conditions relating to the rental of a property from the Owner as defined below.
Definitions
- "Owner"
- Designates the owner of the site Le Vieux Monastère located at 15 rue Saint Martin, 17770 Saint-Hilaire-de-Villefranche (the "Property").
- "Client"
- Designates the tenant of one or more of the 7 Gîtes and/or Common Areas located on the Property and who has entered into a rental Contract with the Owner (the "Contract").
- "Companions"
- Designates the person(s) occupying the Property with the Client, within the maximum capacity of each rented Gîte (Article 5).
- "Gîtes"
- Designates the 7 gîtes listed in Article 6.
- "Common Areas"
- Designates the spaces listed in Article 7.
- "Private Areas"
- Designates all areas not included in the Common Areas or Gîtes, for the exclusive use of the Owner (Article 8).
- "Security Deposit"
- Security deposit required before taking possession (Article 3).
- "Accommodation Tax"
- Accommodation tax due before the arrival date (Article 4).
Article 1 -- Hierarchy of Documents
In case of conflict between the terms below and the terms of the rental Contract between the parties (the "Contract"), the terms of the Contract shall prevail.
Article 2 -- Object
The rental includes the use of the Property, the Common Areas, linens provided upon arrival if applicable, water and electricity (see Article 22).
Article 3 -- Security Deposit
A security deposit is required before taking possession. It may be in the form of bank transfer, cash or check.
The security deposit will be returned, less any applicable amounts, within 1 month of departure in accordance with the conditions of this internal regulation.
Article 4 -- Accommodation Tax
The Accommodation Tax must be paid before the arrival date via separate bank transfer.
In case of payment in cash upon arrival, the exact amount must be provided by the Client; no change will be issued.
It is the Client's responsibility to declare the exact number of adults and children during the stay; the Client shall be solely responsible for any failure to fulfill this obligation or for providing incorrect information.
Notwithstanding any contractual provision between the parties, the amount of accommodation tax owed shall be the rate applicable on the day of taking possession.
Article 5 -- Capacity / Additional Guests
The Client may request permission from the Owner for additional guests not staying overnight to be admitted.
Acceptance of such a request is at the Owner's discretion and may be subject to additional fees.
The maximum occupancy of the Gîtes indicated in Article 6 must not be exceeded without the Owner's consent, and infants and children must be included when indicating the number of Companions in the group.
Article 6 -- List of Gîtes and Capacities
The Gîtes refer to the following 7 Gîtes with their maximum capacity. In no case may a gîte contain more than 15 people:

The remainder of the property is composed of Private Areas and Common Areas.
Article 7 -- Common Areas (list, capacities, access)
The Common Areas consist of:
- The swimming pool: 20 pax
- The multipurpose room: 70 pax
- The garden and play area: 150 pax
The Owner may limit at any time without notice and at his sole discretion, completely or partially, or subject to conditions the access to the Common Areas (example: access times, or access to certain persons in case of non-compliance with Common Areas equipment).
The Client must tidy and clean the Common Areas after each use. Any items left in the Common Areas may be collected by the Owner and returned upon request from the Client.
The Client undertakes not to bring items from the Gîtes into the Common Areas except plastic dinnerware. For reservations including all Gîtes, dedicated Common Areas dinnerware may be provided by the Owner upon request and subject to availability.
Article 8 -- Private Areas (Access Prohibition)
All areas not included in the Common Areas or Gîtes constitute private areas for the exclusive use of the Owner. Access by the Client is strictly prohibited.
Article 9 -- Police Registration (Foreign Clients)
Any Client or Companions who are not French are required by law to complete a police registration form and provide it to the Owner no later than the day before their arrival (model for reference in Annex 2).
The Client shall be solely responsible for any failure to fulfill this obligation or for providing incorrect information.
Article 10 -- Inventory / Condition of Property / Charges
The inventory of the Property must be verified upon arrival and any damaged or missing items reported immediately to the Owner.
The inventory shall be deemed accepted by the Client and the property in perfect condition if no anomalies are reported to the Owner on the day of arrival. All items damaged or lost during the Client's stay must be recorded and reported to the Owner on the same day or before departure.
Any item not listed in the inventory but present upon taking possession shall be deemed added and present in the inventory, including any borrowed items (such as speakers, microphone, video projector) or other items available in the common areas.
The Owner reserves the right to invoice the Client for any damaged or missing item. These shall be deducted from the security deposit at their replacement value regardless of any depreciation. If the charges exceed the amount of the security deposit, the Client remains liable for the excess.
It is forbidden to mix items between Gîtes except with the Owner's consent. Charges of €30 per Gîte in case of missing or mixed items shall be applied.
The Client must notify the Owner at least 24 hours in advance of scheduled arrival and departure times. The exit condition inspection shall be carried out jointly in the presence of the Client and the Owner (or their representatives) at the agreed date and time.
Any departure without verification of the condition inspection with the Owner or without justification of absence shall give the Owner the right to carry out the condition inspection alone (or by bailiff at the Client's sole expense), to deduct from the security any damage found, without this releasing the Client from liability in case of damage exceeding the security deposit.
Article 11 -- Insurance
It is strongly advised that the Client take out a comprehensive travel or vacation insurance policy (including cancellation coverage) at the time of reservation. This should include full coverage for the Client and Companions.
In case of booking all the Gîtes, a certificate of insurance must be provided to the Owner.
Article 12 -- Arrival and Departure Times / Condition Inspection
The rental period begins at 4:00 PM on the day of arrival and ends no later than 10:00 AM on the day of departure unless otherwise agreed in writing by the Owner.
Arrivals must be before 8:00 PM and departures after 7:00 AM unless agreed by the Owner.
The Client must notify the Owner at least 24 hours in advance of scheduled arrival and departure times, it being understood that the Owner may impose an adjustment of the departure/arrival time in case of multiple departures/arrivals at the same time.
Any departure without verification of the condition inspection with the Owner shall give the Owner the right to carry out the condition inspection alone and to deduct from the security any damage found, without this releasing the Client from liability in case of damage exceeding the security deposit.
Any early arrival or late departure may be refused and/or subject to additional fees at the rate of one additional night.
Article 13 -- Festive Activities / Tranquility
The Client accepts being a thoughtful tenant and ensures that neither he nor any member of his group, his Companions, causes any disturbance to others, including the Owner in any manner whatsoever.
No celebration, party, etc. is authorized without the prior written consent of the Owner and in all cases respecting applicable legal provisions.
Article 14 -- Subletting
The Client is not authorized to sublet the Property.
Article 15 -- Linens and Cleaning Products
Bed linens and towels will be provided at the beginning of occupancy if the option has been chosen by the Client. Towels must never be removed from the Property or the Gîte. If the Client requests a change of bed linens during the stay, this shall be charged.
The use of bath towels at the swimming pool is prohibited.
The Client may request to have household linens provided for his stay (sheets and/or bath towels). In this case, household linens will be made available in his/her Gîte(s). If the Client requests to have the beds made upon arrival, he must request this in advance from the Owner; additional fees may then apply.
The towels thus provided must not be used outside the Gîte, nor even at the swimming pool. At the end of the stay, all household linens (except fitted sheets) must be placed in front of the gîte in the provided bag, sheets and towels separated into two separate bags.
Any stains or damage to household linens must be reported to the Owner. Dry cleaning fees may apply. In case of discovery of deterioration not reported, the Owner may invoice and/or deduct from the security deposit the cost of replacing the deteriorated items at their replacement value without taking into account any depreciation.
If the Client has not subscribed to the household linens option, the Client is obligated to bring all household linens for themselves and their Companions; it is strictly forbidden to sleep on sofas or beds without sheets.
The rental does not include toiletries (soap, etc.), cleaning products, dishwashing products or laundry products which are the Client's responsibility.
Article 16 -- Pets
No pets are allowed on the Property or grounds without the prior written consent of the Owner.
Article 17 -- Smoking
It is forbidden to smoke inside the Property or in common areas except in locations designated by the Owner.
No cigarette butts will be tolerated on the Property or parking areas under penalty of Sanctions, including without limitation an amount of €10 per cigarette butt collected by the Owner for restoration costs.
Article 18 -- Caravans and Tents
Caravans, camper vans or tents are not authorized anywhere on the grounds or parking areas without the Owner's written consent.
Article 19 -- Parking / Access
Free parking on site is available in designated areas for a maximum of 2 vehicles per rented Gîte.
Vehicles must be parked in this external parking area on the field side and must not exceed the corner of the Property to allow maneuvering of parked vehicles.
The keys to your Gîte include a key for the side pedestrian access which constitutes the Entrance.
Parking on public roads or in front of the chapel must be without danger or obstruction to traffic. Parking on Sunday mornings and religious holidays is strictly prohibited in front of the chapel under penalty of sanction.
Article 20 -- Swimming Pool
The swimming pool regulations must be respected at all times.
The swimming pool measures 12m x 6m and is open and heated at the Owner's discretion from May 31st to September 30th, and may be heated outside this period subject to weather conditions. The swimming pool is generally open from 10:00 AM to 8:00 PM.
The swimming pool is fenced and complies with French safety standards. The Owner reserves the right to temporarily suspend the use of the swimming pool in order to perform maintenance. Any restriction to the swimming pool for whatever reason shall give no right to any compensation.
Article 21 -- Private Data / Video Surveillance / Sensors
In accordance with privacy regulations you may request access to your information by contacting info@levieuxmonastere.com.
During your stay, photos or videos may be taken by the video surveillance system for your security and the integrity of the Property in common areas. Except in case of breach of these terms, or request by competent authorities, recordings will be deleted within a reasonable time.
Photos and videos for commercial purposes (website, social networks, advertising, etc.) may also be taken only with your explicit consent.
Camera: The gîtes do not have camera surveillance devices. Temperature, humidity and presence control devices to regulate heating and ventilation may however be present. Regarding the Owner's private areas as well as common areas, these are under video surveillance which may or may not be activated at the Owner's discretion. Recordings will be automatically deleted within 30 days except in case of dispute or incident at the Owner's discretion.
Article 22 -- Ecology (Waste / Water / Electricity / Heating)
To respect the environment, we ask our Clients to comply with the following measures.
22.1 Waste
Waste must be sorted; it is the Client's responsibility to provide appropriate garbage bags for household waste; it is forbidden to throw waste without a bag or in plastic/paper bags.
Recyclable waste (cardboard, paper, packaging, plastics) must be placed in a yellow bag provided by the Owner and disposed of in the large waste collection container.
Glass waste must be disposed of in a public container outside the Property.
22.2 Water
Please ensure that faucets are turned off to prevent water from running unnecessarily.
Water is heated every evening with varying capacities depending on the capacity of each Gîte. It is forbidden to modify the frequency of water heating without the Owner's consent.
Reasonable use of water is included in the rental amount; any abusive use/negligence will result in additional charges.
22.3 Electricity
Please turn off electrical appliances (cooktop, lights, etc.) when not in use.
It is forbidden to plug in additional appliances other than those provided that could disrupt the network or create fire hazards (air conditioning, electric vehicle, oven, sound system, etc.) without the Owner's consent (additional fees may apply).
Reasonable use of electricity is included in the rental amount; any abusive use/negligence will result in additional charges.
22.4 Heating
Heating will only be turned on from November 1st to March 31st. It is forbidden for the Client to modify the heating outside these periods.
Any non-compliance will automatically result in reasonable additional charges determined by the Owner at his sole discretion.
The same applies if the Client keeps heating on unnecessarily (temperature above 19°C; windows open for extended periods, etc.).
Article 23 -- Garbage (Instructions)
Recycling bags are available under the sink of your Gîte. It is forbidden to put non-recyclable items in them.
Similarly, glass waste (bottles, etc.) must be taken to a container outside the Property. The nearest one is located opposite the Town Hall.
Please empty cold ashes from the barbecue into your garbage bags.
Black and yellow bags must be placed in the public container in front of the Property.
Article 24 -- Septic Tank
The site is not connected to the municipal sewer system but has its own drainage system. The smooth operation of this system depends on a few simple rules.
Please do not place any items in the toilets, except for toilet paper. Trash cans are provided in all bathrooms.
Bleach must not be used in sinks, washbasins or toilets.
Article 25 -- Wind (Umbrellas / Shutters)
Please close umbrellas in place after use, particularly at night.
Please ensure that window shutters are hooked open or closed at all times to prevent damage from the wind. Windows must be closed before any departure from the gîte, and also during rainy weather.
Article 26 -- Electric Vehicles
A penalty of €50 per connected vehicle will apply in case of non-compliance for inspection and compliance costs.
Article 27 -- Pests / Insects / Animals
A rural location inevitably means insects from time to time. Compliance with waste disposal rules and not leaving food nearby will help keep insects and other unwanted visitors away!
Keeping your windows open with lights on will certainly attract insects including mosquitoes.
We suggest keeping windows open and shutters closed after nightfall is the best compromise between heat and insects.
Article 28 -- Games / Play Area
Please put away all toys/games in the game room after use, to allow other Clients to be able to use them.
Swings are intended for children under 6 years old for those in the inner courtyard and under 12 years for the outdoor play area.
The trampoline can only support one person at a time with a maximum weight of 90 kg.
Users are required to check the integrity of structures before using them. We would not be held responsible for any damage incurred during their use.
Children must remain under supervision of their parents at all times.
Article 29 -- Cleaning
The cleaning of the Gîte(s) rented by the Client is his responsibility for the entire duration of the stay.
The Client undertakes to return the rented property in the same condition as he received it, which includes without limitation the cleaning of floors, kitchens (ovens, refrigerators, clean and organized dishes, etc.), toilets and showers with appropriate products (Bleach prohibited), mirrors and windows, empty garbage cans (even in bathrooms), etc.
Any cleaning time required to restore the Gîte to condition in case of non-compliance with the provisions of this article will be charged at €30 per hour by the Owner in good faith.
Article 30 -- Barbecue and Fire Safety
Barbecues may be made available to the Client during the stay. Their use is placed under the full responsibility of the Client, who must ensure complete extinction of coals after use.
Before departure, the barbecue must be cleaned and emptied. The ashes, once completely cold, must be packaged in a closed garbage bag. Fuel (charcoal, fire starter) is the Client's responsibility.
30.2 Restrictions and Prohibitions (Fire Risk)
The use of barbecues and any open flame device is strictly subject to compliance with current prefectural orders (particularly during drought periods).
For safety reasons, it is strictly forbidden to:
- Use open flame or incandescent elements inside the Gîtes (candles, incense, camping stoves, etc.).
- Use any pyrotechnic or open flame device in the Common Areas and outdoors (fireworks, sky lanterns, Bengal lights, fire shows, torches, etc.) without the prior written authorization of the Owner.
Non-compliance with these safety instructions may result in immediate termination of the Contract in accordance with Article 34.
Article 31 -- Adults / Minors
No minor without a legal representative adult will be accepted on the site.
Article 32 -- Disclaimer / Liability / Interruptions
The use of the site's facilities, including but not limited to the swimming pool and play elements, shall at all times be at the Client's risk and peril. The Client accepts responsibility for supervision at all times of children.
The Owner shall not be liable to the Client for any defect or temporary interruption in the provision of the site's public services nor for any defect or temporary interruption of any equipment, plant, machinery or apparatus on the Property or site facilities.
The Owner, however, will do his best to repair or replace any equipment, installation, machinery or apparatus that is the subject of a defect or temporary interruption as soon as possible.
The Owner shall not be liable to the Client for theft or loss of any property, personal effects or vehicle of the Client or his Companions during his stay, or for damages caused to the Client or any member of the group through the use of the Property, any part of the site or parking.
Article 33 -- Information / Non-Contractual Photos
Although all efforts have been made to ensure that our information is accurate, the Owner shall not be held responsible for any error or omission in any advertisement or marketing documentation, including information contained on the Owner's website.
The photos therein are not contractual and for illustration only.
Article 34 -- Sanctions / Restrictions / Termination
Non-compliance with this regulation may result in sanctions, including restrictions on access to the swimming pool or certain areas, damages or termination of the rental Contract without right to refund.
The Client undertakes, in his name and that of his Companions, to comply with this internal regulation which may be modified from time to time at the Owner's discretion.
Serious or repeated breach of the obligations contained in this regulation may give rise to immediate termination of the Contract after verification of the breach by the Owner by simple notification, without compensation or refund to the Client or his Companions and if applicable, to damages for the benefit of the Owner including retention of the entire security deposit.
In case of termination at the Client's initiative:
- More than 60 days before the arrival date, only the amounts already paid shall be retained
- Less than 60 days before the arrival date, the full amount shall remain due
However, in case of rental at the same price to a third party on the canceled dates, the Owner may refund the entire amount minus €1000 for costs incurred.
Any request for date modification must be approved in writing by the Owner; a new price and payment schedule may then be applicable.
Article 35 -- Practical Annexes
Departures: Please read the Departure Annex to find information relating to preparations before your departure from the site.
Arrival: Please read the Arrival Annex to find information relating to your arrival.
Article 36 -- Partial Nullity / Conflicts / Updates
The nullity of any provision herein does not automatically result in the invalidity of the remainder of the terms and conditions or the rental Contract.
In case of conflict between the general terms and conditions and the rental Contract, the terms of the rental Contract shall prevail unless expressly provided otherwise.
The Owner reserves the right to update these terms; the applicable regulation is the one in effect on the day of reservation and the Client undertakes to verify the applicable conditions during his stay.
Article 37 -- Type of Reservation
Standard Reservation: Standard terms and conditions for reservation of one or more gîtes, for one or more nights.
Daily: Reservation of one or more days, one or more gîtes without overnight accommodation. Arrival and departure times are more flexible and determined with the Owner and events may be authorized with the Owner's consent in case of reservation of the entire site with access to the multipurpose room.
Group: Reservation of the entire site for use by a group for one or more nights. Arrival and departure times are more flexible and determined with the Owner and events may be authorized with the Owner's consent with access to the multipurpose room for a maximum of 50 people.
Large Events: Same as group reservations but it is possible to accommodate additional guests not staying overnight. Maximum 50 beds, 150 people total while respecting the capacities of each room.
Article 38 -- Force Majeure
The owner shall not be held responsible in case of impossibility to provide all or part of the services due to a force majeure event.
Article 39 -- Additional Games
Additional games may be made available to the Client or his Companions by the Owner upon simple request and subject to availability.
Any game borrowed during your stay including, without limitation: table tennis, foosball, pétanque, discs, molky, darts, balls, rackets, etc. must be put away and used with care.
Any damage caused by the Client or his Companions to the Additional Games must be compensated by the Client to the Owner.
Article 40 -- Emergency (Useful Numbers)
In case of emergency you can contact the following numbers and if possible notify us to facilitate assistance from competent personnel:

- 17 -- Police / Gendarmerie (violence, assault, theft, burglary, etc.)
- 18 -- Fire Department (fire, gas leak, collapse risk, burns, electrocution, road accident, etc.)

ANNEX 1 -- SWIMMING POOL REGULATIONS
OPENING HOURS: 10:00 AM -- 8:00 PM (Indicative)
These hours may be modified without notice by the Owner for technical or weather reasons.
SAFETY RULES AND SANCTIONS
RESTRICTED ACCESS: Swimming authorized only if the robot has been removed and the cover opened. Access prohibited outside opening hours.
CHILDREN: MANDATORY CONSTANT PARENTAL SUPERVISION within the enclosure. No minor child alone.
HYGIENE & CLEANLINESS:
- Mandatory shower before entering the water.
- Street shoes strictly prohibited on the beaches.
- Swimsuit required (city shorts, jeans cutoffs, T-shirts prohibited).
- Babies: waterproof diaper mandatory.
- TOTAL PROHIBITION of food, chewing gum and glass containers (bottles, glasses) within the enclosure. Only plastic is tolerated.
- Hard outdoor toys or those that may obstruct the skimmers.
TOWELS: Absolute prohibition of using white gîte towels at the swimming pool.
BEHAVIOR: Diving prohibited (maximum depth 2m). No music, shouting or violent games disturbing the quiet of other residents.
SANCTIONS: Any violation of these regulations will result in immediate exclusion from the pool area, without refund.

PENALTY: €50 per infraction found + immediate termination in case of repeat offense.
PARKING: External parking field side only. Pedestrian access locked permanently. Prohibited parking in front of the chapel Sunday morning.
WASTEWATER (Septic tank):
TOILET PAPER ONLY in toilets.
Bleach, wipes, hygiene products = PROHIBITED (bathroom trash).
Any blockage due to non-compliance will be charged at actual intervention cost.
ENERGY: Turn off lights and heating and close doors and windows when leaving. Close umbrellas after use (wind damage = charged).
Games: Please put away all toys/games in the game room after use.
Swings and trampolines are reserved for children (6 years old in central garden and 12 years old in south play area) under parental supervision. 50kg max per swing and 100 kg total per play area. One person at a time on the trampoline, maximum weight 90kg.
Additional Games: Please ask us if you want additional games (pétanque, discs, molky)
Strong Heat: please keep windows, curtains and shutters closed in case of strong heat and open only in the evening
Insects/Animals: a rural location in summer inevitably means insects and other pests from time to time. Not leaving food nearby will help keep them away.

ANNEX 4 -- DEPARTURE / CHECK-OUT
MANDATORY DEPARTURE TIME:
- Standard: Gîte release before 10:00 AM.
- Group: Site release before 5:00 PM.
Any unauthorized overage will be charged (additional night).
MEETING: The exact time of the condition inspection must be notified by message to the Owner no later than the day before departure.
MANDATORY DEPARTURE CHECKLIST
Non-compliance with these items will result in restoration charges deducted from the security deposit.
1. DIRTY LINENS (To do BEFORE the time limit):
- Strip the beds. Leave only fitted sheets.
- SORT into provided bags: Bag 1 (Sheets/Pillowcases) / Bag 2 (Sponge/Mats).
- Place bags at the entrance. Report stained linens separately.
2. DISHES & ORGANIZATION:
- CLEAN, DRY dishes ORGANIZED in cabinets.
- DISHWASHER EMPTIED.
- PROHIBITION ON MIXING dishes/equipment between Gîtes (or with central kitchen for Groups).
MIXING PENALTY: €30 per item to be reintegrated/found.
3. GARBAGE (Zero trace):
- Empty ALL trash cans (Kitchen + Bathroom + Toilet).
- Throw closed bags in external containers.
- Glass evacuated to the village.
PENALTY GARBAGE NOT EMPTIED: €30 flat fee.
4. CLEANING / CLEANLINESS:
- Kitchen (refrigerator, oven, stovetops) and BBQ cleaned.
- Floors swept/vacuumed, sanitary facilities clean.
PENALTY CLEANING NOT DONE: €30 per hour of restoration required.

ANNEX 5 - SPECIAL CONDITIONS FOR GROUP
SPECIAL CONDITIONS -- "GROUP" RESERVATIONS
(the "Special Group Conditions")
Preamble
These Special Group Conditions apply to "Group" type reservations (event or otherwise) made with Le Vieux Monastère ("LVM").
They supplement the General Terms & Conditions and Internal Regulations (the "CGV") and the Contract.
Definitions
- "LVM", "Property", "Client", "Companions"
- as defined in the CGV.
- "Guests"
- any person present on the Property as part of the reservation (including visitors not sleeping on site).
- "Service Providers / Interveners"
- any service provider engaged by the Client (caterer, DJ, decorator, rental company, etc.).
- "Group Spaces"
- spaces made available under the "Group" reservation, as defined in the Contract and below.
Article 1 -- Hierarchy of Documents
In case of contradiction between documents, the order of priority is as follows:
- The signed Contract / quotation / booking confirmation (and its specific appendices).
- These Special Group Conditions.
- The CGV and appendices.
Article 2 -- Object
These Special Group Conditions specifically govern:
- The use of rooms/spaces dedicated to the group,
- The modalities of intervention of Service Providers,
- The operational rules for preparation, closure, and post-event restoration.
Article 3 -- Group Spaces / Capacities
Unless otherwise stipulated in the Contract, Group Spaces include:
- The common dining rooms (maximum capacity: 80 people) and multipurpose room (maximum capacity: 70 people),
- The kitchen (access/conditions according to Article 5) and the external terrace,
- More generally, the common areas included in the "Group" reservation in the Contract.
In any case, the maximum capacities and access limitations provided in the CGV (common areas / restrictions) remain applicable. The holding of public events is prohibited unless prior written consent is obtained.
Article 4 -- Equipment Made Available (Graciously)
LVM makes available, free of charge, according to availability, in particular:
- 12 rectangular tables (120x80x78.5 cm),
- 5 folding tables (75x180x74 cm),
- 48 indoor chairs,
- 5 garden tables for 4 people and 40 garden chairs,
- 4 round glass tables,
- Mismatched dishes (approx. 40 units: plates, bowls, small plates, wine and water glasses).
These items being provided free of charge, their unavailability (partial or total) gives no right to compensation.
Handling / Relocation: No item may be moved without prior consent from LVM.
If the Client brings/rents equipment, he organizes handling and co-location of materials after LVM approval.
Damage: Any damage attributable to the Client, his Guests or his Service Providers gives rise to compensation according to the CGV (inventory/condition inspection/damage).
Article 5 -- Service Providers (Information and Operational Rules)
The Client communicates to LVM no later than 1 month before arrival:
- The list of Service Providers (names/business name if possible),
- The total number of Guests expected.
Layout: The Client and/or the caterer (or Service Providers) ensure the setup of tables/chairs according to their needs, without moving equipment without consent.
Sound / Nuisances (specific event):
Outdoor music: prohibited after 8:00 PM.
Indoor music: doors closed during playback; reduction to an acceptable level after 10:00 PM.
The Client ensures compliance with applicable regulations (noise, neighbors) and the CGV (tranquility / festive activities).
Article 6 -- Client Representative / Closure
The Client designates a person "representative" responsible for:
- Applying LVM instructions,
- Safety and closure (sound system off, interior and exterior lights off),
- Verification of end of occupation of Group Spaces.
The identity and phone number of this representative are communicated to LVM before arrival.
Article 7 -- Access / Preparation / Service Provider Vehicles
Access Schedules (unless otherwise stipulated in the Contract):
Preparation access: 2:00 PM to 8:00 PM on the 1st day.
Service Providers: access from 10:00 AM on the day of the event.
Liberation and restoration: no later than 4:00 PM on the day of departure.
Vehicles on the Property: Authorized only for preparation on the 1st day, during the authorized period, then immediate exit after unloading/installation.
If a Service Provider needs to bring a vehicle onto the property: notify LVM at least 48 hours in advance (arrival/departure time).
"Refrigerated Vehicle" Exception: Authorized only for the refrigerated section, on the dedicated external outlet in front of the dining room (prohibition of any other charging/unauthorized use, in accordance with the CGV).
Article 8 -- Electricity / Breakdowns
In case of electrical failure, the Client immediately contacts LVM (or the manager).
It is forbidden for the Client, Guests and Service Providers to manipulate electrical panels, circuits or distribution boxes.
Any additional electrical equipment (Client or Service Providers) is subject to prior consent from LVM, in addition to the CGV (electricity / unauthorized appliances).
The Client is informed that spaces do not have a heating system.
Article 9 -- Kitchen / Hygiene
The Client undertakes to comply with applicable hygiene standards, particularly in case of food handling.
In case of third-party Service Provider for meals, the Client acknowledges that compliance with hygiene standards is the responsibility of his Service Provider, who is solely responsible.
Article 10 -- Cleaning / Post-Event Restoration (Specific to Group)
In addition to the CGV (cleaning / waste), the Client must ensure in particular that:
- All equipment made available is cleaned and returned to its place,
- Any personal decoration is removed (interior + exterior),
- Waste, cardboard and packaging are evacuated to external public containers (sorting),
- Glass is evacuated to village containers,
- Cigarette butts and ashtrays (if smoking authorization) are managed and the area is left clean,
- The garden/surroundings of Group Spaces are left without waste.
Compostable Waste (Specific to Group): Compostable waste is placed in a separate bag and given to LVM on the day of departure.
In case of non-compliance, restoration fees may be retained from the security deposit / charged according to the modalities provided in the Contract and the CGV.
Article 11 -- Insurance (Event)
In addition to the CGV (insurance), the Client provides before arrival a certificate of liability insurance covering the event and all group activities.
The safekeeping of personal items/effects and vehicles is not insured; the Client remains responsible for his Guests and Service Providers.
Article 12 -- Cancellation (Specific to Group)
By derogation from the CGV if the Contract provides for a "Group" reservation:
If LVM rents the same date at an amount at least equal, the deposit paid is refunded, less the fees necessary to re-rent (advertising, commissions, etc.) evaluated flat at €1000, within 30 days following the originally scheduled date, upon written request.
Absent derogation provided in the Contract, the cancellation conditions of the CGV apply.
Article 13 -- Number of Guests / Overages
The number of Guests cannot exceed that provided in the Contract.
Beyond 150 people (if authorized in the Contract), the Client must request special conditions in writing.
Any excess of the number provided in the Contract may result in additional fees according to the modalities agreed in the Contract (within the limit agreed between the parties).
Article 14 -- Additional Instructions (Not Covered by the CGV)
Decoration:
Confetti and balloons: authorized only in rooms; confetti must be collected and disposed of immediately after use.
Fasteners: prohibition of fixing decorations/objects on walls, ceilings or furniture without prior consent.
Safety / ERP Circulation:
Emergency exit plans and fire extinguishers must remain visible and accessible at all times.
Article 15 -- Video Surveillance (Group Information)
In addition to the CGV (data/video surveillance), the Client is informed that common areas likely to be under surveillance include in particular: parking, garden, swimming pool, play area.
Article 16 -- Pre-Visit
A preliminary visit is recommended.
An additional visit after booking may be accepted according to availability; any additional visit may be charged €50.
